How to build a quote

Add sections and line items to price a job, and see the total update as you go.

A quote is built from sections, each holding one or more line items, priced as you add them. Start it from an existing job, or on its own if there's no job yet.

Start a quote

  1. Go to Quotes and select New quote.
  2. Choose From a job to attach it to an existing job, or Blank quote to start from a client with no job attached.
  3. Search and pick the job or client.
  4. Select Create quote.

Add sections and line items

Each quote starts with one section and one empty line. For every line item you set:

  • Description, description of work. Start typing to see matching items from your price book; selecting one fills in the rest of the row.
  • Qty, the quantity.
  • Unit, nr, m, , , hr, day, wk, sum, item, t or kg.
  • Base rate £, the rate before any markup.
  • VAT, 0%, 5% or 20% per line.

Markup % sits behind the row's expand arrow, alongside the calculated charge and Remove line. See Adding markup and seeing your margin for how that number turns into your charge.

  1. Select Add line item to add another row to a section, or Add section to start a new one.
  2. Give the section a title if you have more than one, for example Materials and Labour.
  3. Select Remove line (inside the expanded row) or the section's trash icon to delete either.

Every change saves as you type, there is no separate save step.

Set payment terms and notes

At the foot of the quote:

  • Notes, for payment terms, scope exclusions or assumptions.
  • Deposit, None, 25%, 50% or Custom, see Taking a deposit on a quote.
  • The totals column: Subtotal ex VAT, VAT, and Total inc VAT.

Issue the quote

A draft quote is fully editable. Once you're ready to send it:

  1. Select Issue quote.
  2. Choose a Payment period, the number of days the balance is due after the final invoice date.
  3. Optionally set an expiry date.
  4. Select Issue and email to issue and send it straight to the client's email, or Issue to just lock it in and share the link yourself later.

Heads up

Once issued, a quote becomes read-only. Line items, prices and terms are locked. Use Revise to make a new draft version if something needs to change.

After issuing, the quote can still be shared by email, Copy link, or Share via WhatsApp from the Send menu.

Frequently asked

Can I quote without a job?

Yes. Choose Blank quote when starting a quote, it attaches to a client with no job.

What happens if I need to change an issued quote?

Select Revise from the quote's menu. This creates a new draft version rather than editing the locked one, so the client never sees a document change under them after they've read it.

Where do I see the quote as the customer will?

Select View from the quote's menu to open the exact page the client sees.
