How to take a deposit on a quote

Set the deposit percentage
- Open the quote and find Deposit below the line items.
- Choose
None,25%,50%, or selectCustomto enter any other percentage.
The deposit amount updates next to the buttons as you choose, for example
£76.50 on acceptance.
What the customer sees
The quote's payment terms section states the deposit plainly:
"Deposit of 25% (£76.50) due on acceptance." The sticky accept bar above the
Accept quote button also reminds them: "On acceptance, we'll send you the
deposit invoice and confirm a start date."
What happens on acceptance
When the client accepts the quote, Trame automatically:
- Creates a deposit invoice for the deposit amount, already marked as sent.
- Emails it to the client straight away, with the PDF attached if their email is on file.
This also happens if you mark the quote accepted yourself from the quote's menu, not only when the client signs it themselves.
Note
A quote with a deposit produces two invoices in total. The deposit invoice first, on acceptance. The final invoice later, once you issue it from the accepted quote, will show the deposit deducted as "Less deposit paid" and the balance due, so the two never double-count.
Frequently asked
Do I need to create the deposit invoice myself?
No. It's created and sent automatically as soon as the quote is accepted, provided a deposit percentage is set and the client has an email address.
What if the client has no email on file?
The deposit invoice is still created, but it can't be emailed automatically. Share it the same way you'd share any invoice, by link or another channel.
Can I change the deposit after the quote is accepted?
No. Once a quote is accepted it's locked. Use Revise to create a new draft
version if the deposit needs to change.
