How to get a quote signed off

Once a quote is issued, share it with the client so they can accept it online with a name and signature, or record their answer yourself if they told you another way.

Share the quote

From an issued quote, select Send to reveal:

• Email (or Resend once already sent), if the client has an email address.
• Copy link, to send the quote's link yourself.
• Share via WhatsApp, opens WhatsApp with the link pre-filled.

What the client sees and does

The client opens the quote at its own link, no account needed. They see the full breakdown, line items, subtotal, VAT, total, and payment terms including any deposit. At the bottom:

1. Select Accept quote.
2. Enter their full name and draw a signature.
3. Select Confirm acceptance.

Or, if they're not going ahead, Decline this quote opens a dialog with an optional field for a reason, nothing is required to decline.

After the client responds

Accepted: the quote locks in as accepted, the linked job (or a new one, for a standalone quote) moves to Accepted, and you're notified by SMS and email. If a deposit is set, the deposit invoice is created and emailed automatically, see Taking a deposit on a quote. A Create invoice button then appears on the quote.

Declined: the quote is marked rejected. Nothing else changes automatically, the job is left for you to decide what happens next.

Recording acceptance yourself

If the client said yes over the phone or in person, you don't need them to use the online flow:

1. Open the quote's ⋮ menu.
2. Select Mark as accepted.

This runs the same automatic steps as an online acceptance, the job advances and the deposit invoice goes out if one is set.

If they said no, select Mark as rejected instead. Since you've spoken to the customer directly and know whether the job is recoverable, you're then asked what to do with the job: Requote it, Close the job, or Leave it for now.

Frequently asked

Can I change a quote after it's been accepted or rejected?

Not in place. Select Revise to create a new draft version, the original stays exactly as the client saw and answered it.

Does declining online do anything to the job?

No, an online decline only marks the quote rejected. The job outcome prompt only appears when you mark it rejected yourself, since only you know at that point whether the job is worth chasing again.

Where do I see who signed and when?

Open the quote's client-facing view (View from the ⋮ menu). Once accepted, an "Accepted by" section shows the signature, the signer's name and the date.
