How to use Assistant
Use your admin assistant to find saved work, prepare draft quotes and invoices, and manage jobs from a conversation.
Open Assistant from the top bar to find saved work, get help and prepare changes for you to check.
Assistant is in beta. The Beta badge appears beside its name in the chat.
Ask Assistant to find or prepare work
Use short requests and the identifying details you know. For example, ask:
- "Who owes me money?"
- "Make a quote for George for a tap replacement at £350."
- "Invoice the accepted quote for the bathroom job."
- "Mark the kitchen job complete."
- "Turn this enquiry into a job."
Assistant can list saved clients, jobs, quotes and invoices, show money owed, and answer questions from Trame's help articles. If a name matches more than one result, choose the right one. For tasks such as logging an expense or scanning a receipt, ask Assistant how to do it, then follow the steps in Trame.
For a quote or invoice, give the work, quantity and amount. When VAT applies, Assistant may ask whether the amount includes VAT or whether VAT should be added. You can also ask it to use an item from your saved price book. A job is optional.
Assistant can prepare or edit a draft quote or invoice, and turn an accepted quote into a draft invoice. It can also turn an enquiry into a job, mark a job complete, close it or reopen it. Every change is shown for confirmation before it is saved.
Note
Assistant cannot issue or send an invoice, send a reminder or email, or record a payment. After it creates an invoice draft, open the saved invoice in the editor to check, issue and send it. Only draft quotes and invoices can be edited in Assistant.
Create a draft quote or invoice
- Ask for the document and name the client, for example "Make an invoice for George."
- If more than one client matches, choose the right person from the results.
- Give the work and price when Assistant asks. Answer any question about quantity or VAT.
- Check the client, lines and total on the confirmation card. Send a correction in the chat if anything is wrong.
- Select
Create draft invoiceorCreate draft quotewhen the details are right, then open the saved document.
Assistant keeps the working draft while it collects missing details. You can pause or resume that work, and a side question does not discard it.
Turn an enquiry into a job
- Open the enquiry and select
Assistantfrom the top bar. - Check that the enquiry is attached above the message box. Select
Use this enquiryif needed. - Ask "Turn this into a job."
- Choose the client if more than one matches. If no client matches, the confirmation shows that a new client will be created from the enquiry details.
- Check the job title, description and client, then select
Create job. - Select
Open jobto see the saved job.
The job starts at the quoting stage and stays linked to the original enquiry. The enquiry is marked as converted. Nothing is sent to the client. If it has already been converted, Assistant shows the existing job.
Use saved records as context
You can attach a saved enquiry, client, job, quote or invoice to give Assistant the right context.
- Open a saved enquiry, client, job, quote or invoice, then select
Assistantfrom the top bar. - Check the attachment chip above the message box. A new conversation opened from a saved record attaches it automatically.
- If the chip is missing or shows a different record, select
Use this enquiry,Use this client,Use this job,Use this quoteorUse this invoice. - Ask about "this job" or describe the change you want.
The attachment stays with the conversation while you navigate. Remove it with the close icon on the attachment chip. Assistant reads the saved record, so save any editor changes before asking about them.
Closing the side panel does not discard your message draft or a task in progress. You can pause, resume or cancel a working quote or invoice task. Cancelling a working task does not delete a quote or invoice that was already saved.
Use the panel, full page and conversation history
On a wide screen, Assistant opens as a panel beside your work. Select Open full page
to expand it. On a smaller screen, it opens below the app top bar so the chat has
the available width.
Use New conversation to start again. Select Conversations to open your
history. The new conversation screen also shows your three most recent
conversations under Recent conversations. To remove one, open its options
menu and select Delete.
Only you can see your conversations, even if other people use the same company account. Conversations are kept for 90 days from their last activity unless you delete them sooner. Deleting a conversation does not undo a confirmed action or delete a business record. Read the privacy policy for details about how Assistant messages and record context are processed.
Turn Assistant on or off
Assistant is enabled by default. The company owner can go to Settings, select
Assistant under Business, and switch Allow Assistant off or on. When it
is off, saved conversations remain available, but nobody in the company can send
new messages.
Assistant has a monthly company chat allowance. If it is used up, the chat shows that the allowance resets on the 1st.
