What your customer sees when you send a quote
The email, the quote page, and how a customer accepts or declines it, exactly as they'll see it.
Once you select Issue and email on a quote, your customer gets an email and
a link to a page built for them, no account, no login. Here's exactly what's
on it.
The email
The subject line is Quote {number} from {your company name}. It opens with
"Your quote is ready", says who it's from, and shows the total inc. VAT. If
you've set an expiry date it states "Valid until" underneath, and the quote is
attached as a PDF. A View quote button links to the page below, next to the
line "Review the full breakdown and accept online. No account needed."
Note
Selecting Issue instead of Issue and email skips the email. Share Copy link or Share via WhatsApp from the quote's Send menu instead, and your
customer lands on the same page either way.
The quote page
At the top: your logo, company name and address, VAT and company registration
numbers if you've set them, the quote number, and a status pill reading
Awaiting acceptance or Accepted. Below that, the issue date, the valid
until date if set, and who it's prepared for.
Then the priced work itself:
- Each section and line item you added, with quantity, unit and VAT rate shown under the description.
- Subtotal, VAT, and Total inc. VAT.
- If you set a deposit, a line stating the deposit percentage, its amount, and that it's due on acceptance.
- If you set a payment period, a line stating how many days after the final invoice the balance is due.
- Any notes you added.
A Save as PDF button floats at the bottom right the whole time, so they can
download a copy without printing your email.
Accepting or declining
A bar fixed at the foot of the page carries the two actions, as long as the quote hasn't already been accepted or declined:
Accept quoteopens a dialog asking for their full name and a drawn signature, next to a link to your terms and conditions if you've set one. If you set a deposit, the page tells them beforehand that accepting sends the deposit invoice and confirms a start date.Decline this quoteopens a lighter dialog with an optional "anything you'd like to add?" note, nothing required. Frequently asked
Can my customer accept a quote without signing?
No. Accepting always asks for a typed full name and a drawn signature, there's no accept-without-signing option.
What happens after they accept?
You get notified and the job moves forward from your side, see Getting a quote signed off. If a deposit is set, Trame creates the deposit invoice and emails it to them automatically, you don't need to issue it yourself.
Can they change their mind after accepting?
Not on the page itself, once accepted it's locked. They'd need to contact you directly, the same as if they'd signed anything else.
