Deposit invoices and how the balance works

A quote with a deposit produces two invoices, one for the deposit and one for the balance, and Trame keeps them from double-counting.

A quote with a deposit produces two invoices, not one. The deposit invoice is created and sent the moment the client accepts, and the final invoice, issued later, shows the deposit as a deduction rather than asking for the full amount again.

How the deposit invoice appears

You don't create this one yourself. As soon as a client accepts a quote that has a deposit percentage set, Trame:

  1. Creates a deposit invoice for that percentage of the quote total.
  2. Sets its status straight to Sent.
  3. Emails it to the client, if you have their email on file.

Its title reads Deposit - [quote title], and its single line item reads something like 25% deposit - Kitchen refit. For example, a £1,200 quote with a 25% deposit produces a £300 deposit invoice.

Note

Marking the deposit invoice as paid does not move the job to Paid. Only paying the final invoice does that, since the balance is still outstanding until then.

How the final invoice nets it off

When you issue the invoice for the rest of the job, Trame recognises the deposit invoice already exists for that quote and nets it off automatically. Continuing the example above, the final invoice's totals read:

  • Total inc VAT: £1,200
  • Less deposit paid: -£300
  • Balance due: £900

The two invoices are never added together as-is. On the invoices list, the final invoice's figure already has the deposit taken off, so the two rows sum to the true job value, not more.

What if the quote has no deposit?

Can I choose to send the deposit invoice myself instead?

No, not currently. Whenever a quote with a deposit percentage set is accepted, the deposit invoice is created and sent automatically.

Does the deposit invoice carry a CIS deduction?

No. CIS is applied on the final invoice, where the balance is actually being paid, not on the deposit.
