How to export your records for your accountant

Download a tax-period pack of invoices and expenses as CSV, or a single expenses file formatted for Xero, FreeAgent or QuickBooks import.

Everything for a chosen tax period, invoices and expenses, in one download. Hand the file to your accountant or bookkeeper, or import it straight into your accounting software.

Download the standard export

  1. Go to Expenses and select Export (on mobile, open the more-actions menu in the top right and select Export for accountant). You can also open it from Reports under Export records.
  2. Leave Format as Standard.
  3. Under Include, tick Invoices, Expenses, or both.
  4. Choose a Tax year and a Period, Full tax year or a single quarter.
  5. Optionally turn on Include receipts to bundle receipt images alongside the expenses CSV.
  6. Select Download.

You get a ZIP file containing invoices.csv, expenses.csv, or both, depending what you ticked. invoices.csv includes both the gross total and a net revenue column that already accounts for deposits, so summing it never double-counts a deposit against its final invoice. expenses.csv lists each cost with its HMRC category, VAT and whether a receipt is on file.

Note

Receipts over 250 in the period aren't bundled into the ZIP, the download would get too large. Export a single quarter instead, or ask for the images separately.

Export a bank-import format

If your accounting software just needs a bank-statement style CSV of your expenses, skip the standard pack.

  1. Open the export dialog as above.
  2. Under Format, choose Xero (expenses, bank import), FreeAgent (expenses, bank import), or QuickBooks (expenses, bank import).
  3. Choose a Tax year and Period.
  4. Select Download.

This downloads a single CSV of expenses only, shaped for that tool's bank statement import, one row per expense, the amount shown as money out. It doesn't include invoices, and receipts aren't part of this file.

Which format should I pick?

If your accountant just wants the numbers, Standard covers invoices and expenses in one go. If you're importing straight into accounting software as if it were a bank statement, pick that software's format instead, it's expenses only.

Does the export include VAT?

Yes. Both the standard invoices and expenses CSVs break out VAT separately from the net and gross amounts.

Can I export just one quarter?

Yes. Choose the tax year, then pick Q1, Q2, Q3 or Q4 instead of Full tax year.
